Position Summary
Supervise and assist the staff in providing service to all members of the University community in the retrieval and delivery of all internal and external mail, including incoming and outgoing parcels from the U.
S.
Post Office and common couriers.
Position Specific Accountabilities 1.
Supervise and assist in the efficient processing of incoming and outgoing deliveries to and from the U.
S.
Postal Service and common carriers while maintaining high customer service standards.
Train all staff and student employees in the proper sortation sequencing and logistical staging of mail and parcels for campus delivery.
2.
Supervise and assist in the pickup and delivery of mail from the U.
S.
Post Office in Westchester five days a week.
3.
Coordinate all campus office delivery and pick up logistics (e.
g.
routing, scheduling delivery & pick-up times, etc.
).
Supervise and assist in the distribution and retrieval distribution of interoffice (on-campus) and external (off-campus) mail and packages, stage them for proper daily transfer to appropriate on and off campus destinations.
4.
Conduct staff and student employee training programs for internal policies and procedures, USPS Rules and Regulations, and courier or common carrier processes to those staff and student staff under the Supervisor’s supervision.
5.
Supervise and direct common carrier packages for vendor pick-up.
Supervise and prepare appropriate daily and periodic vendor summary logs and accounting detail for submission to the Processing Supervisor.
6.
Serve as back up in handling of all shipping needs and courier carrier services.
7.
Assist the Director in coordinating LMU Distribution Center functions with the US Post Office and common carriers.
Develop and maintain carrier and vendors contacts.
8.
Represent LMU within the community and at professional organizations or associations; serve on committees as required.
9.
Perform other duties as assigned or requested.

Requisite Qualifications • Typically a High School diploma.
Some college classes or training in business, business machines, and customer service.
Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
• Minimum three years of hands-on experience in corporate or university mail center operations.
At least two years of experience at the supervisory level with demonstrated training skills.
A basic knowledge of all classes of mail, foreign and domestic, postal rules and regulations regarding sorting, preparation, and dispatch of mail.
A knowledge of positive customer service techniques and methods.
Extensive knowledge of preparation and submission of U.
S.
Post Office forms required for each mailing and required U.
S.
Postal Service permits.
Knowledge of shipping and common carrier rules and requirements.
• Detail-oriented.
Effectively communicate both orally and in writing with all levels of the university organizational structure and the LMU Community.
• Supervise high volume mail and product distribution operation with frequent interruptions, process incoming and intra-campus mail within mandatory daily deadlines.
Supervise all outbound courier processing according to carrier guidelines.
Maintain accurate records.
• Requires valid California driver's license.
Must maintain a “satisfactory” driving record as evidenced by DMV record.
• Demonstrated basic computer competency.
Microsoft Office experience preferred.
