We are a Commercial and Residential property management company that are looking for an Administrative Assistant, preferably within 10-15 miles of West Hollywood, with the following duties: 1.
Provide administrative support such as scanning, copying, printing, assisting with meetings, company events, preparation of meetings, etc.
2.
Prepare several reports utilizing Microsoft Excel on a regular basis (e.
g.
, daily,weekly/monthly reports, vacancy reports, rent rolls, etc.
).
Strong ms excel skills are a MUST 3.
Coordinate with various team members and generate reports as per co-worker’s needs; 4.
QuickBooks experience a plus 5.
Manage meetings, calendar appointments, coordinate lunch for various office staff members; 6.
Answer phone calls and emails; handle incoming and outgoing communications; 7.
Manage agendas/travel arrangements/appointments etc.
for colleagues; 8.
Consistently and timely take care of weekly, monthly, quarterly and yearly tasks assigned; 9.
Maintain accurate records of documents received and sent out, file documents (hard and soft copies); 10.
Assist in rental efforts including leasing documents for properties 11.
Be the liaison between team members and outside vendors/clients and consistently follow up on projects, tasks, or deadlines, as needed; 12.
Perform other functions as may be required by the job or as directed by management; 13.
Bi Lingual (English and Spanish a plus
