The Regional Manager is totally accountable for property operations of those properties within his or her portfolio.
This individual has a successful history of managing multi-layered affordable housing.
This position will include training, mentoring and offering guidance to site employees.
This is a remote/traveling position.
DUTIES AND RESPONSIBILITIES Financial - In conjunction with the Vice President, provides input for the formulation of budgets for each upcoming calendar year.
- Approves appliance and carpet purchases; approved major maintenance equipment approval.
- Audits petty cash, check and money order detail against ledgers.
- Reviews financial statements and prepares budget variance narrative.
Personnel -Hires, terminates, trains, motivates and supervises all on-site staff in order to achieve operational goals of assigned properties.
This includes new employee indoctrination, annual performance reviews, review and approval of timesheets, instructing and advising on-site staff of employee procedures and guidelines.
- Reviews new-hire paperwork and all other employee related paperwork.
- Reviews all pre-hire testing results, if applicable.
- Conducts on-going training with office staff; e.
g.
, leasing paperwork, workplace safety, and any other types of training that may be needed.
Administrative/Office - Audits lease files to ensure they are complete and that completion of leases / recertification is being executed properly.
- Monitors service contract expirations, termination clauses and insurance coverage expirations.
- Re-bids contracts annually to ensure best deal/cost.
- Reviews utility logs to ensure no leaks or water waste.
- Attends scheduled home office management meetings.
- Follows through with all legal issues including but not limited to subpoenas, small claims court, lawsuits, fair housing disputes, etc.
Resident Relations - Maintains positive customer service altitude.
- Solves problems that Property Manager cannot solve.
Property Inspection - Conducts random property inspections within his or her portfolio to ensure standards are being met and procedures are being followed.
Discuss findings and report trends to Vice President.
In conjunction with such inspections or otherwise, ensures the following activities are occurring: - Rent Collection Procedures are being followed - Vacant Units are trashed within 3 days; Vacant units are turned within 3 to 5 days - Resident renewal letters are being sent and followed up on - Employee uniform and dress code is being followed - Ensures WLH Preventive Maintenance Program is in place - No Pay No Stay policy and Eviction Hold policy are being followed - Supportive Service Requirements are being met - PM’s are conducting Weekly Community Staff Meetings - Work Orders are being entered and closed daily - Unit Inspections are being completed at least once every 6 months - Ensures all Management Agreements are current and updated annually as necessary.
Ensure all documents, paperwork, contracts, etc.
are stored and maintained - Ensures execution of all new operations initiatives - Monitors industry trends and seek to improve WLH operations as possible - Prepares Quarterly Inspection Report - Monitors and reviews schedules of all maintenance activities.
Marketing/Leasing - Monitors market surveys monthly.
- Creates marketing flyers, marketing plans and marketing campaigns - Places advertising if required by Vice President.
- Ensures marketing efforts are cost effective - Maintains awareness of market/industry conditions and trends via trade publications, professional organizations, etc.
Safety - Ensures that all workers' compensation claims are reported and proper paperwork is completed.
- Reviews pertinent safety checklists with maintenance staff.
- Attends or conducts safety meeting as required.
Property Purchase/Sale - Assists in purchase due diligence upon request of Vice President.
- Assists with new management takeovers as requested by the Vice President.
