Job Description Summary Assistant Property Manager Job Location: Culver City, CA Based in the Los Angeles area, the Assistant Property Manager is responsible for administratively supporting the regional Property Management team, by organizing and maintaining tenant and property file systems and information.
*Key Responsibilities* * The Assistant Property Manager will assist the Property Manager in overseeing the day-to-day operations of the retail shopping center.
* Work closely with tenants, contractors, and stakeholders to ensure the property is well-maintained, secure, and operating efficiently.
* Assist with property management, including maintenance, security, landscape, and janitorial services.
* Respond to tenant inquiries, requests, and concerns promptly and professionally.
* Assist in after hour tenant & emergency calls.
* Collaborate with the Property Manager to create and implement plans for the improvement of the property.
* Ensure compliance with all lease agreements, property policies, and regulations.
* Prepare and maintain accurate property-related reports and records.
* Assist with Rent collections.
* Oversee contractors and vendors to ensure the timely completion of projects and maintenance tasks.
* Coordinate with the Property Manager to prepare and manage the property budget.
* Perform regular property inspections to ensure the property is well-maintained and secure.
* Other duties as assigned by the Property Manager * Responsible for taking complete and accurate meeting notes as required.
* Codes and enters all invoices for the property management department (Yardi vendor cafe & Nexus) * Keeps all tenant and vendor insurance certificates and updates insurance database.
* Completes insurance status report.
* Codes invoices for accounts payable, prepare daily FedEx envelopes and air bills, oversees organization and storage of blueprint inventory, distribute mail, and create and control property site plans.
* Responsible for drafting letters and other correspondence as needed.
* Assists in coordination and preparation of data for semi-annual property tax billings.
* Assists the team with special projects as needed.
