Keck Advancement seeks a full-time team member for the position of Administrative Assistant II.
The Administrative Assistant II will support development officers and report to the Executive Director of Development, Keck Advancement.
This position coordinates, implements, and provides administrative support for various projects, activities, and all aspects of development functions for their assigned areas.
The person holding this position must be detail oriented, have strong verbal and written communication skills, strong skills in word processing, spreadsheets and databases, the ability to multi-task effectively, the ability to deal with confidential information with complete discretion, experience in providing superior customer service, and excellent organizational skills.
They must possess a cooperative and team-oriented attitude and demonstrate sound judgment and decision-making skills.
The administrative support and office duties for the department of Keck Advancement include:
Assist development officers with daily activity for prospect and donor interactions, from qualification to stewardship.
Coordinate all preparations for faculty and donor meetings, receptions, development events virtual and in-person, and site visits.
Maintain office files and electronic databases.
Process all incoming gifts and gift acknowledgments.
Assist development officers with monthly contact reports, daily reports.
Prioritize different projects, other duties, or special projects as assigned.
Assist with meeting reservations and all travel arrangements.
Be responsible for mapping meetings and coordinating any travel arrangements, including air travel and hotel accommodations and reservations.
Responsible for standard and express mailings.
Support in preparing packages, thank you cards and letters, and other stewardship items, as needed.
Manages office expenses.
Provides budget updates as requested.
Manages travel and personal reimbursements.
Oversees office equipment and machinery, coordinates technical service and repairs, as necessary.
Performs other related duties as assigned or requested.

Minimum requirements:
Bachelor's degree or combined experience/education as substitute for minimum work experience and,
3 years of experience/education as substitute for work experience in secreterial or specialized clerical and administrative experience.

The base hourly range for this position is $25.
84 per hour - $30.
