Role Summary: Under the supervision of the Director of Community Mental Health, the Community Mental Health Program Assistant is responsible for all routine support services, welligent data entry and adminstrative support.
Major Duties and Responsibilities: To perform this job successfully, you must be able to satisfactorily perform each of the following always: Supports the Community Mental Health Program by providing a variety of administrative duties, including but not limited to, opening client’s in “call center” in agency’s electronic health record.
Ensures all documents are uploaded to the appropriate electronic health record and redacted as needed to ensure compliance with agency standards pertaining to protected health information.
Runs reports pertaining to billable services within the electronic health record, as well as dispersing reports to appropriate staff and supervisor.
Ensures all new hires have the required NPI number, as well as are associated with Wayfinder Family Services within the NPPES Registry.
Attends all Los Angeles County Department of Mental Health meetings as requested.
Ensures internal department meetings agendas are completed and sent to appropriate parties.
Reports any incidents/accidents according to incident reporting procedures and protocols, within designated timelines as outlined in the reporting procedures.
Ensure staff is knowledgeable of and adhere to the reporting procedures and protocols.
Handles all matters requiring high degree of confidentiality.
Maintains confidentiality of all pertinent client information.
Acts as interpreter for placed youth as needed.
Support Wayfinder Family Services Welligent data entry for Community Mental Health as needed.
Education: High School Diploma or equivalent.
Associate or bachelor’s degree in a related field from an accredited college or university preferred.
Two to three years’ experience in an administrative assistant capacity, preferably within a medical office or mental health program.
Experience: Proficient in the use of Microsoft Office, specifically Word, Excel and Outlook.
Ability to work independently, with a broad range of delegated responsibility.
Good grammar, diction, ability to write clearly and concisely.
