Elysee Z Beauty, a leading salon, academy and distributor in the beauty industry, is seeking to hire an experienced office administrator to join our growing business.
In this role, you will play a vital part in ensuring smooth day-to-day operations, providing exceptional customer service, and maintaining an organized and efficient office environment.
Responsibilities: * Serve as the first point of contact for clients and students, providing friendly and professional customer service in person, over the phone, and via email.
* Address customer inquiries and provide information about our services, products, and training programs.
* Schedule appointments and maintain an organized calendar for services and educational classes.
* Ensure the salon is clean, presentable, and organized at all times.
* Assist with administrative tasks, including data entry, maintaining accurate records, and document preparation.
* Perform various tasks and projects as assigned.
Requirements: * Proven experience in a similar receptionist or administrative assistant role.
* Strong organizational and time management skills with the ability to multitask effectively.
* Excellent verbal and written communication skills, with a professional demeanor.
* Hard working with a positive attitude and hunger to grow.
* Proficiency in using computer software, including Microsoft Office Suite, Adobe Pro, Email marketing software and appointment management software * Attention to detail and problem-solving skills * Knowledge of the beauty industry is a plus, but not required.
* Ability to work in a fast paced environment.
Responsibilities: - Manage and maintain office filing systems, both physical and digital - Develop and implement training programs for new employees - Oversee phone systems and ensure proper handling of calls - Provide team management and support to office staff - Handle front desk duties, including greeting visitors and directing them to the appropriate person or department - Manage calendars and schedule appointments for office personnel - Demonstrate excellent phone etiquette when interacting with clients or customers - Utilize knowledge of medical office management to ensure smooth operations Skills: - Strong organizational skills with the ability to prioritize tasks effectively - Excellent communication skills, both written and verbal - Proficient in using office software and equipment, such as Microsoft Office Suite and multi-line phone systems - Detail-oriented with a high level of accuracy in data entry and record keeping - Ability to work well under pressure and meet deadlines - Knowledge of medical office procedures and terminology is a plus This position offers a competitive salary and benefits package.
