Overview:
We are looking for an enthusiastic, motivated Security Office Secretary to join our team! Secretary coordinates and assists the Security and Transportation departments in all administrative duties as outlined below.
Responsibilities:
Perform various administrative tasks to ensure the efficient operation of the security department and assists all supervisors in administrative and clerical duties.
This includes managing correspondence, scheduling appointments, organizing meetings and maintaining, typing and filing and records to include and not limited to preparing performance documentation.
Serve as a primary point of the contact for the Security department.
Answer calls, responds to emails and relay messages between department members and external stakeholders.
Prepare and distribute various security-related documents, such as incident reports, security policies, and procedures.
Accuracy and attention to detail are crucial in maintaining and organizing these records.
Maintain and update files, security logs and other relevant information.
This includes security incidents, maintaining access control lists and updating security protocols as necessary.
Coordinate security-related activities and projects.
This can involve liaising with other departments, organizing training sessions or drills, and ensuring compliance with security policies and regulations.
Prepares and maintains reports concerning staffing, vehicle maintenance, payroll, training and certification compliance.
Maintain all Security and Transportation vehicle records and keeps licenses for DMV active.
Maintains security and transportation policy and procedural manuals.
Track equipment maintenance (due dates) and notifies supervisor.

Maintains up to date inventories of equipment and supplies
Schedules interviews; calls applicants and stays on track on hiring status.
Completes all in-house paperwork for new-hires, payroll and purchase orders.
Work cooperatively with managers and clients to capture and implement best practices and to ensure consistency and cost savings where feasible.
Support other members of the team by anticipating and providing help when needed.
Ensure that all confidential data is maintained securely and handled in a discreet fashion.
Additional job related duties as assigned by Security Manager.
Qualifications:
High school diploma or G.
E.
D required.
Associate's or Bachelor's degree preferred.
At least three four years' experience as a secretary or administrative assistant and/or
combination of education and experience also accepted.
Must be able to work any given shift as business may need and able and willing to work overtime as needed.
MUST BE 21 YEARS OLD.
Must be able to obtain and maintain a current California gambling establishment employee permit, badge or license.
Must provide evidence of employment eligibility in the U.
S.
Must be able to pass a mandatory drug test and criminal background.
