Overview: Schedule: Day Shifts Purpose Statement/Position Summary: The Training, Research & Community Engagement (TRC) Program is the research and capacity building assistance center housed in the Division of Adolescent and Young Adult Medicine at Children's Hospital Los Angeles.
The main project this individual will be supporting is the Adolescent Health Innovation Hub.
The Administrative Assistant provides area and service support under supervision, helping to run the department's workplace as a robust business function, including a wide range of customer services and secretarial activities related to the day-to-day operations of the office, managing department expenses and invoices, organizing and maintaining files, meeting and event planning, document services, reception and floor support.
Minimum Qualifications/Work Experience: 2+year's professional office experience.
Advanced secretarial and administrative experience required.
Catering and meeting planning and support preferred.
Managing complex calendars, coordinate appointments, meetings and travel, as well as extensive rescheduling.
Receive, review, track and reconcile department invoices, including resolving billing issues with vendor, ensure correct cost centers and charge code, requesting/ distributing checks and escalating issues as needed.
Coordinate supplies, equipment and other logistics to support department needs including acting as the point of contact and related basic technical support.
Education/Licensure/Certification: High School Diploma, GED or equivalent required.
Bachelor's degree preferred.
Pay Scale Information: CHLA values the contribution each Team Member brings to our organization.
Final determination of a successful candidate’s starting pay will vary based on a number of factors, including, but not limited to education and experience within the job or the industry.
The pay scale listed for this position is generally for candidates that meet the specified qualifications and requirements listed on this specific job description.
Additional pay may be determined for those candidates that exceed these specified qualifications and requirements.
