Essential Functions: The Imaging and Data Processing Unit is an organizational unit with a mission to provide imaging and data processing services associated with supporting student success through the digital transformation initiatives aligned with the mission, vision, and values of California State University, Los Angeles.
Under the supervision of the Lead Imaging and Data Processing Coordinator, the incumbent is responsible for entering and validating external document data with efficiency and accuracy into various database systems including, but not limited to, PeopleSoft and OnBase.
Interprets and applies a variety of complex policies and procedures referencing the university catalog, class schedule, campus telephone directory, and the Family Rights and Privacy Act for determination of information release.
On-Course Data Processing - Enters all transfer transcript data into GET Student Administration according to established procedures.
The information includes the name of the institution, term taken, course department and number, course title, unit value, and grade received.
Independently organizes transcripts received and enters receipt and status.
Codes and enters transcripts and supporting documents in GET Student Administration.
Determines appropriate coding for transcripts and supporting documents and updated GET to indicate status of transcripts (official, unofficial, partial, completed, required, or waived).
Utilizing OnBase imaging system scan Enrollment Service documents for processing and archiving purposes.
Correctly index scanned documents.
Review and re-index problem records when necessary.
Identify potential indexing issues and report findings to Lead IDP Coordinator.
Assist with purging of documents according to CSU policy and standards.
Work with IDP Coordinators and IDP Assistants on completing IDP-related projects.
Work with the student assistants ensuring that tasks are completed on time.
Provide assistance, training, and monitoring of student assistants.
Assist with processing of received documents pertaining to residency, undergraduate petitions, and applicant recommendation letters, and other duties as assigned by the Lead Imaging & Data Processing Coordinator and/or Associate Director of Technology and Support Operations.
Required Qualifications & Experience: Equivalent to three years of general office experience, which includes providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function.
Data entry experience.
Must possess the ability to understand standard office procedures.
Operate office equipment and computer applications and perform basic arithmetic calculations.
Possess fundamental writing and presentation skills to effectively communicate standard information.
Must be able to respond to routine inquiries and explain standard policies and procedures to others.
Maintain cooperative working relationships.
The incumbent must have a demonstrated interest and/or ability in working in a multicultural/multiethnic environment.
A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.
Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who may apply for the position.
