Job Description
Job Summary: An Accounts Payable Clerk is responsible for managing and processing the financial obligations of an organization by handling the timely and accurate processing of invoices, expense reports, and payments.
This role involves collaboration with various departments and vendors to ensure that financial transactions are recorded and documented in accordance with established policies and procedures.
Key Responsibilities:
1.
Invoice Processing:
* Receive and review incoming invoices for accuracy, completeness, and adherence to company policies.
* Code and enter invoices into the accounting system.
* Verify and match invoices with purchase orders and receiving documentation.
2.
Payment Processing:
* Prepare and process payments to vendors, ensuring adherence to payment terms and discount opportunities.
* Reconcile payment discrepancies and resolve issues with vendors.
3.
Expense Reports:
* Review and process employee expense reports, ensuring compliance with company policies.
* Reconcile expense reports with receipts and other supporting documentation.
4.
Vendor Management:
* Maintain accurate and up-to-date vendor information in the system.
* Address inquiries and discrepancies with vendors in a timely manner.
5.
Recordkeeping:
* Maintain organized and complete records of all accounts payable transactions.
* Assist in the preparation of financial reports related to accounts payable.
6.
Month-End Closing:
* Assist in month-end closing processes, including reconciling accounts payable balances.
7.
Compliance:
* Ensure compliance with company policies, accounting principles, and relevant regulations.
* Assist in internal and external audits related to accounts payable.
8.
Communication:
* Communicate effectively with internal departments, vendors, and management regarding payment status and discrepancies.
Qualifications and Skills:
* High school diploma or equivalent; associate degree or relevant certification is a plus.
* Proven experience as an Accounts Payable Clerk or in a similar role.
* Strong attention to detail and accuracy in data entry.
* Proficient in using accounting software and Microsoft Office applications, especially Excel.
* Knowledge of basic accounting principles and practices.
* Excellent organizational and time-management skills.
* Strong communication and interpersonal skills.
* Ability to work independently and collaboratively in a team.
* Familiarity with relevant laws, regulations, and compliance requirements.
